Meeting Opened at 7:15 PM   Tracy Matern, President Presiding

 

1)      August 12, 2008 Board Meeting Minutes.

a.       Approved

2)      Event Status

a.       Halloween Ride October 25th.

                                                   i.            Tractor Supply donated prizes, valued at $125.

                                                 ii.            Judges for costume contest will be Bea Angermeier, Chris Angermeier and Steve Bourgeois.

                                                iii.            Witches for the witches brew will be Ruth Blom and Maggie Sico.

                                               iv.            Misc.

1.      Dry Ice – Maggie Sico

2.      T-Shirts – Ruth Blom

3.      Sliced Tomatoes – Christine Churchill

4.      Lettuce – Pat Martin

                                                 v.            Set-up 1:00 PM, ride starts at 3:00 PM

                                               vi.            PR has been sent to publishers and some flyers have been posted.

b.      Lucas Parade October 25th.

                                                   i.            Staging between 8:00 and 10:00 AM at the high school, parade at 11:00 AM.

                                                 ii.            Need people to carry banner and flags.

                                                iii.            Those interested contact Tracy.

c.       November 15th trail ride and hotdog roast.

                                                   i.            PR has been sent out.

d.      Watters Creek lighted Christmas parade

                                                   i.            November 30th at new shopping center at Hwy. 75 and Bethany in Allen.

                                                 ii.            Those interested contact Tracy.

 

e.       Christmas Party/Annual Membership Meeting - December 5th .

                                                   i.            Bard Petticord Community Center in Wylie

1.      Set-up at 5:00 PM

2.      Start time is 6:30 PM thru 11:00 PM

                                                 ii.            Everyone bring a covered dish, drinks and meat provided by TTPA.

1.      Tom – Fry Turkey

f.        Photo Release Forms

                                                   i.            Berdine will give copies to Joe.

                                                 ii.            Start having forms signed at Halloween Ride.

                                                iii.            Record received forms on Master Membership list.

g.       Trailer Inventory

                                                   i.            Tracy will send out updated list.

h.        Competitive trail event

                                                   i.            Researching possibilities and type of rides.

1.      North Texas Trail Riding Association – very regulated, 25 mile rides.

2.      Competitive Trail Challenge – less regulated, more obstacles, 6 mile rides.

                                                 ii.            Establish contact with both organizations to determine further interest.

3)      Trail Status Report

a.       Signs

                                                   i.            “Maintained by Volunteers” signs received.

1.      Will be placed at every entrance to the trail.

2.      Tracy has put one up at Highland Park.

                                                 ii.            Directional signs

1.      Made and provided by the Tom and Berdine.

2.      Ready for placement on the trail.

b.      “Horse Crossing” signs have been installed by the County on Snider Lane.

                                                   i.            One has already been stolen.

                                                 ii.            Tracy will inform the County.

c.       Gator bed lift has been installed.

d.      Covered Picnic area for Highland Park

                                                   i.            Concrete has been poured.

                                                 ii.            If funds are available will add rock to the parking area.

e.       30 Day public notice for Phase II trail extension – still waiting for Corps approval.

f.        Meeting with North Texas Municipal Water District

                                                   i.            NTMWD is agreeable to routing the trail in front of their processing plant rather than behind (thus avoiding the wet area), volunteered to have their engineers look at a possible route and write a legal agreement.

                                                 ii.            NTMWD said the City of Fairview planned to connect a trail to ours at the NTMWD location.  Tracy will follow up with Fairview.

 

g.       Trail marking schedule

                                                   i.            October 28th  and November 4th, 9:00 AM, meet at Jean Schooping’s

h.       Spreading manure in the center area of the East Fork campground was rejected by the Corps.

i.         Workday

                                                   i.            October 18th – 9:00 AM, Highland Park Trailhead

1.      Weed-eat and trim trees.

2.      Install sign posts

3.      Unknown volunteer removed the fallen trees on the trail between Highland Park trailhead and Snider Lane.

                                                 ii.            November 8th – 9:00 AM, Highland Park Trailhead

1.      Install wood on picnic table, stain wood and weed-eating.

4)      Welcome to Pat Monson as Newsletter editor.

5)      Volunteer of the Year Award

a.       Decision was made to give two awards:  Jimmy Shackelford and Rick Pickard (business).

b.      Carole will order awards.

6)      Stewardship Program

a.       TTPA Brochure tailored to an organization’s needs/interest.

                                                   i.            Contacted Boy Scouts.  Carole will work with Pat Monson to develop a scout oriented TTPA brochure.

                                                 ii.            Carole and Ruth will work on a school oriented brochure.

b.      Brochure Distribution boxes have been purchased.

c.       TTPA Business Card

                                                   i.            Charlie volunteered Mary (has info set up for Charlie’s card) to print individual cards.  Contact Mary with info.

d.      Ruth working on Lovejoy students/parents becoming TTPA members.

7)      Sweatshirts

a.       Ruth will check on cost of zip- up sweatshirts – will need to be pre-paid before ordering.

b.      Will also check on cost of low profile caps.

8)      Nomination Committee Report

a.       Tom Eberhart has accepted the nomination for Vice President.

b.      The nomination for President is under consideration.

9)      Location for January Board Meeting

a.       Carole volunteered to have the meeting at her house unless the new President has a preferred location.

10)  Additional Items

a.       Carole donated a two year virus protection subscription for the lap-top.

b.      Publish TTPA’s average monthly expenses in the newsletter to bring attention to the ongoing cost of the trail.

c.       Announce in newsletter that Board Meeting Minutes are posted on the Web Site.

 

d.      Christine has set up a blog.  Suggested putting newsletter on blog with some minor alterations, photos would be deleted until release forms are signed.  Need info to put on the blog.  Access to blog will be announced after information is accumulated.
